Terms & Conditions for Online Registration

Organised by HOPECON | Hosted under the aegis of the Indian Pharmacological Society (Eastern India Chapter)

Please read these Terms and Conditions carefully before completing your registration for HOPECON 2026. By submitting your registration through the official online registration portal, you acknowledge that you have read, understood, and agreed to be bound by these Terms and Conditions.

These Terms govern your participation in HOPECON 2026 – the 5th National Medi-Educare Conference, organised by HOPECON and conducted under the aegis of the Indian Pharmacological Society (Eastern India Chapter). The conference will be held from 8–11 October 2026 at Hyatt Regency, Kolkata.

1. Definitions

• Conference: HOPECON 2026 – 5th National Medi-Educare Conference.
• Organiser: HOPECON and Indian Pharmacological Society (Eastern India Chapter).
• Registrant: Any individual registering for the conference.
• Physical Attendance: In-person participation at Hyatt Regency, Kolkata.
• Digital Attendance: Participation through the official virtual platform.
• Credit Point Certificate: Certificate issued to eligible physical attendees.

2. Online Registration

• Registration is available only through the official online portal.
• All information provided must be accurate and complete.
• Registration is confirmed only after successful payment and confirmation email.
• Registrations are personal and non-transferable without organiser approval.

3. Attendance Modes

3.1 Physical Attendance

Physical attendees will have access to conference sessions, workshops, networking events and are eligible for Credit Point Certificates subject to attendance requirements.

3.2 Digital Attendance

• Remote access through the official virtual platform.
• Access credentials will be shared before the conference.
• No access to physical venue facilities.
• Recording or redistribution of conference content is prohibited.
• Credit Point Certificates are not available for digital attendees.

4. Registration Fee & Payment

• Registration fees vary according to category and attendance mode.
• Full payment is required at the time of registration.
• Payments are accepted in INR.
• Confirmed registrations remain valid even if fee revisions occur later.

5. Credit Point Certificate

• Issued only to eligible Physical Attendees.
• Attendance verification is mandatory.
• Digital attendees are not eligible.
• Recognition of certificates depends on applicable regulatory bodies.

6. Cancellation & Substitution Policy

• All registration fees are strictly non-refundable.
• Delegate substitution requests must be submitted at least 7 days before the conference.
• Substitution requires organiser approval.
• Attendance mode cannot be changed after confirmation.
• Force majeure events may result in postponement or conversion to a digital format.

7. Code of Conduct

• All attendees must behave professionally and respectfully.
• Disruptive, offensive, or unlawful behaviour may result in removal.
• Unauthorised recording or distribution of conference content is prohibited.

8. Intellectual Property

All conference branding, logos, presentations, and materials remain the intellectual property of their respective owners and may not be reproduced without written permission.

9. Privacy & Personal Data

• Personal data will be collected for conference administration purposes.
• Data will be processed in accordance with applicable Indian laws, including the DPDP Act 2023.
• Information will not be sold to third parties.

10. Limitation of Liability

The Organiser shall not be liable for any loss, damage, injury, travel disruption, or expense incurred in connection with the conference.

11. Governing Law & Dispute Resolution

These Terms are governed by the laws of India and the State of West Bengal. Any dispute shall be subject to arbitration in Kolkata, West Bengal.

12. Amendments

The Organiser reserves the right to amend these Terms and Conditions at any time. Material changes will be communicated through the registered email address.
