1. Introduction

Thank you for registering for HOPECON 2026. We appreciate your participation in the 5th National Medi Edu Care Conference.

Please read this Refund & Cancellation Policy carefully before completing your registration and payment. By registering for the Conference, you acknowledge and agree to the terms outlined below.

2. Registration Fees

All registration fees paid towards participation in HOPECON 2026 are generally non-refundable and non-transferable.

Upon successful completion of registration and confirmation of payment, no refund, credit, adjustment, or reimbursement shall ordinarily be provided.

This policy applies to all registration categories, including but not limited to:

• Delegates
• Faculty Members
• Speakers
• Students
• Postgraduate Trainees
• Allied Healthcare Professionals
• International Participants
• Workshop Participants
• Exhibitors and Associated Registrants

3. Circumstances Not Eligible for Refund

Refunds shall not be granted in the event of:

• Inability to attend the Conference for any reason.
• Personal, family, medical, or professional commitments.
• Travel disruptions or transportation issues.
• Visa refusal, delay, or non-issuance.
• Scheduling conflicts.
• Failure to attend one or more sessions, workshops, or conference activities.
• Incorrect information submitted during registration.
• Partial attendance.
• Early departure from the Conference.
• Change in personal circumstances after registration.

4. Registration Transfer

Registrations are ordinarily non-transferable.

Requests for correction of participant details or substitution of delegates may be considered only under exceptional circumstances and must be submitted in writing to the Organizing Committee.

Any approval shall be entirely at the discretion of the Organizing Committee and may be subject to administrative charges.

5. Conference Program Modifications

The Organizing Committee reserves the right to make reasonable modifications to:

• Scientific program schedules
• Speaker line-ups
• Session timings
• Workshop arrangements
• Conference venue
• Conference format
• Associated events and activities

Such modifications shall not constitute grounds for refund.

6. Force Majeure

The Organizing Committee shall not be liable for failure to conduct the Conference as originally planned due to events beyond reasonable control, including but not limited to:

• Natural disasters
• Public health emergencies
• Epidemics or pandemics
• Government restrictions
• Political disturbances
• Civil unrest
• Acts of terrorism
• Technical failures
• Utility disruptions

In such circumstances, the Conference may be postponed, rescheduled, relocated, converted to a hybrid format, or conducted virtually.

Registration fees shall remain valid and non-refundable unless otherwise determined by the Organizing Committee.

7. Exceptional Circumstances

Any request for special consideration shall be reviewed individually.

Approval of any exception shall be:

• Solely at the discretion of the Organizing Committee.
• Subject to applicable administrative and financial considerations.
• Final and binding.

The decision of the Organizing Committee shall not be subject to appeal.

8. Limitation of Liability

The Organizers shall not be responsible for:

• Travel expenses
• Accommodation expenses
• Visa-related costs
• Foreign exchange losses
• Professional losses
• Consequential or indirect damages arising from cancellation, postponement, modification, or non-attendance.

By registering for HOPECON 2026 and completing payment, participants confirm that they have:

• Read this Refund & Cancellation Policy.
• Understood its contents.
• Agreed to be bound by its terms and conditions.

Registration and payment constitute acceptance of this policy in its entirety.
